Operations Coordinator - Unannounced Project

Scopely is looking for an Operations Coordinator to join our unannounced project in Barcelona on a hybrid basis, working 3 days a week from the hub.

We are in the early stages of development on an ambitious, unannounced, cross-platform Strategy/MMO title, creating a team of talented and passionate game makers to join us on this exciting journey!
What You Will Do
- Support operations by coordinating leadership meetings and recurring cross-functional meetings with other teams across Scopely, such as Corporate Development and game teams
- Navigate complex procurement processes (e.g., Ironclad and IT requirements) when purchasing software; track procurement progress and proactively intervene to ensure timely completion
- Act as a liaison with the IT department on matters related to equipment, software acquisitions, external vendor accounts, and other support needs
- Facilitate the submission and tracking of critical legal documents, including Master Services Agreements (MSAs), Statements of Work (SoWs), and End User License Agreements (EULAs)
- Ensure smooth and consistent onboarding experiences by managing key tasks such as scheduling intro meetings, provisioning software and equipment, sharing documentation, and organizing company swag
- Build and maintain onboarding processes to ensure readiness for new hires and keep documentation up to date
- Assist in the planning and coordination of team events, culture initiatives, and special projects; manage the team calendar to reflect all relevant activities
Organize and facilitate team meetings and gatherings, both virtual and in-person - Support teams in organizing off-sites or social events as needed
- Manage travel arrangements, expense reports, and other logistical tasks for team leadership
- Serve as a go-to resource for the team, responding to inquiries and assisting with ad hoc requests, such as ordering home office equipment or software tools
What We’re Looking For
- 3+ years experience as a coordinator supporting VP/SVP/C-Level executives (in a fast-paced entertainment / tech / gaming company)
- Proactive, forward-thinking individual who is able to manage a critical company wide program, and assist individual executives, remaining one step ahead at all times
- Team-player with a can-do attitude and an innate ability to adapt to different work styles and make things happen
- Tech-savvy, resourceful and creative problem solver with a demonstrated ability to resolve issues onsite and remotely
- Ability to adapt schedule as needed to accommodate varying time zones
- Ability to juggle multiple priorities and to navigate high-pressure, stressful situations with grace and composure
- Exceptional written, verbal and nonverbal communication skills
- Experience using discretion while handling sensitive and confidential information
- Experience supporting the preparation of slides & materials for important presentations (to boards or investors, or for company all-hands, etc) is a plus
